Alumni Centers Steering Committee

The Alumni Center Steering Committee of the RUAA is charged with organizing a broad-based University effort to establish alumni centers in New Brunswick, Camden and Newark. The Alumni Center Committee is in the early planning stages and new volunteer positions are currently not available.

Volunteer Role

Utilize business experience to advise the University on concept development, fund raising and construction and/or renovation of these centers.

The committee’s primary responsibility will be to develop the project plan that leads to the alumni centers becoming a reality. On behalf of the board, partner with staff, alumni and university officials to ensure that sound policies, practices, and monitoring mechanisms exist for the process by which the project plan is developed.

Responsibilities

  • Organize a committee of university officials and alumni with expertise in the areas needed to develop this project.
  • Communicate to the RUAA Board of Directors the status of the project development process.
  • Recommend the committee structure to advance the project.
  • Assist in recruiting individuals with appropriate expertise and background to serve within the committee structure.
  • Provide leadership to the process and advocate for the alumni centers program and project.

Alumni Leaders Council Committee

The Alumni Leaders Council Committee of the RUAA is responsible for reviewing applications for charter status and recommending to the RUAA Board that charter status be granted, as well as monitoring the chartering process to ensure its success. The committee is also responsible for the annual Alumni Leaders Council meeting. In partnership with the staff, this committee serves as the main point of contact between the leaders of individual alumni groups and the RUAA Board.

Volunteer Role

This committee utilizes business and volunteer experience to advise the RUAA and the University’s alumni relations department on volunteer leaders needs.

The committee is an integral part of planning the annual Alumni Leaders Council meeting. Working with their staff partners, the group will work on selecting and recruiting featured speakers and setting the annual meeting agenda.

On behalf of the board, help ensure that sound policies, practices, and monitoring mechanisms exist for chartering alumni groups as recognized affiliated groups of the RUAA and Rutgers University. The Alumni Leaders Council is chaired by the Secretary of the Board and consists of seven or more members of the RUAA.

Responsibilities

  • Review annual volunteer goals and strategies, and provide guidance.
  • Monitor program changes and issues and provide advice and support.
  • Advise the RUAA Board on recommendations and methods to increase the number of chartered alumni groups.
  • Organize the structure for the RUAA’s annual Alumni Leaders Council meeting and Alumni Leaders Conference.
  • Attend the annual Alumni Leaders Council meeting and Alumni Leaders Conference to help facilitate the logistics of the meeting.
  • Recommend policies to the RUAA Board and Alumni Relations staff concerning the development and implementation of volunteer initiatives.

Awards and Recognition Committee

The Awards and Recognition Committee of the RUAA is charged with awarding and recognizing alumni efforts on behalf of RUAA and the University. This committee will partner with AR staff to ensure that consistent and effective recognition is given to Rutgers alumni for their successful achievements in a variety of areas, including, but not limited to, professional success and volunteerism. This committee will play a lead role both in developing and evaluating the process by which alumni are selected for RUAA awards such as the Hall of Distinguished Alumni, and in specifically selecting those honorees.

Volunteer Role

Utilize business experience to advise the University’s alumni relations department on volunteer recognition, including, but not limited to, process and selection of awardees.

The committee is an integral part of the planning process for the Hall of Distinguished Alumni, a volunteer recognition selection process and event, and the development of new alumni recognition opportunities and programs.

On behalf of the board, partner with staff to ensure that sound policies, practices, and monitoring mechanisms exist for the process by which awardees are selected. In conjunction with staff, faculty, and administration, evaluate and present to the RUAA Board recommendations for alumni honors, such as the Hall of Distinguished Alumni and volunteer recognition.

Responsibilities

  • Maintain an overview of alumni recognition initiatives and processes, and offer advice and guidance
  • Develop and maintain methods for promoting the recognition of individual alumni or alumni groups or other deserving groups or persons
  • Serve on selection committee for alumni awards such as the HDA and volunteer recognition
  • Review the past performance of recognition programs and make recommendations to staff for continuous improvement
  • Advise the staff on recommendations and methods to promote Rutgers recognition events and ensure attendance goals are met
  • Recommend policies to the RUAA Board and Alumni Relations staff concerning the development and implementations of volunteer awards and recognitions programs
  • Encourage and foster support for alumni events in the Rutgers community
  • Attend and volunteer at Rutgers alumni events

Assistant Vice President for Alumni Relations

Communications Advisory Committee

The RUAA Communications Advisory Committee is charged with advising the alumni relations communications staff on current trends in effective communications and marketing. The committee considers the consistency and effectiveness of communications points created by the RUAA and the media utilized to disseminate those messages.  The committee also stays abreast of new communications initiatives that can be utilized in engaging alumni and advising how those can be implemented into the RUAA’s overall communications plan.

Volunteer Role

  • Utilize business experience to advise the University’s alumni relations department on branding, public relations, and messaging.
  • Advise board and staff on sound policies, practices, and monitoring mechanisms exist for managing the communications interests and issues of the RUAA and Rutgers University.

Responsibilities

  • Review annual communications goals and strategies and provide guidance
  • Maintain an overview of University Communications initiatives and provide advice and guidance on implementation for alumni needs
  • Review the past performance of RUAA communications initiatives against goals and standards and industry best practices and make recommendations to staff for continuous improvement
  • Stay abreast of trends and recent developments in the field of communications

Alumni Benefits Committee

Volunteer Role

The committee is a sub-committee of the Finance Committee and is a vital resource in the development of assessment tools for alumni discount providers and royalty generating alumni benefits programs.

Responsibilities

  • Establish best practices document for choosing alumni discount providers
  • Review and recommend royalty generating alumni programs as appropriate
  • Implement the University’s procurement process to develop a request for proposal (with criteria) for royalty benefit programs such as long-term care

Homecoming Committee

The business of the Homecoming Committee is to:
  • Develop a strategic direction for Rutgers Homecoming.
  • Lead a comprehensive, university-wide homecoming effort.
  • Advise the RUAA on a vision for Homecomings at support the mission of the RUAA.
  • Ensure homecomings in Newark, Camden and New Brunswick are taking advantage of the economies of scale while ensuring the activities are unique to the individual campus communities
  • Develop measures to assess the success of Homecoming activities

Volunteer Role

  • Utilize event or volunteer experience to advise the alumni relations department and the RUAA Board on best practices in the delivery of homecoming programming
  • Attend and volunteer at Homecoming events

Responsibilities

  • Review past performance of Homecoming and make recommendations to the RUAA Board for continuous improvement
  • Collaborate with the Communications Committee on methods to promote Rutgers Homecoming to ensure attendance goals are reached.
  • Partner with the Alumni Relations staff to present a diverse and spirited menu of activities for Homecoming

Director of Homecomings and Reunions

Nominations Committee

The Nominations Committee of the RUAA is charged with recruiting and identifying volunteers and recommending a slate of future members for the RUAA Board.  The committee consists of seven members, three from the RUAA Board, three alumni members of the council, and the Vice President of Alumni Relations.

Volunteer Role

Utilize business experience to help recruit and identify volunteer leaders for RUAA Board roles.  Make personal recommendations to the RUAA Board and the Department of Alumni Relations regarding alumni leaders.  On behalf of the board, help ensure that sound policies, practices, and monitoring mechanisms exist for managing the nominations process.

Responsibilities

  • Prepare a slate of candidates for the RUAA Board and its officers.
  • Review and recruit alumni leaders, evaluating talents and abilities.
  • Monitor nominations process to ensure fairness and equity.
  • Maintain an overview of RUAA initiatives and goals and offer advice and guidance on the leaders best suited to achieve them in the future.
  • Review the past processes of the RUAA nominations committee and make recommendations to staff for continuous improvement.
  • Recommend policies to the RUAA Board and Alumni Relations staff concerning the development of a successful volunteer base.

Assistant Vice President for Alumni Relations

Regional Clubs Committee

The Regional Clubs Committee of the RUAA is charged with reviewing and recommending actions that will enhance the organized regional activities of alumni groups in a variety of geographic areas. The committee will also partner with AR staff to ensure that the Regional clubs are informed and educated about their alma mater, and that the specific concerns and challenges of the clubs be kept at the forefront of RUAA discussions.

Volunteer Role

Utilize business experience to advise the University’s alumni relations department and its volunteer Regional Club leaders on programming that will engage alumni away from campus.

Advise Regional Club leaders in such areas as communications, advocacy, recruitment, and event management.

On behalf of the board, help ensure that the sound policies, practices, and monitoring mechanisms exist for managing the diverse group of Regional Clubs around the world.

Responsibilities

  • Review annual Regional Club goals and strategies, and provide guidance
  • Maintain and overview of Alumni Relations issues and offer advice and guidance to ensure Regional Clubs activities support and enhance University objectives
  • Review the past performance of Regional Club activities against goals and standards and make recommendations to staff for continuous improvement
  • Assist in the creation of new Regional Clubs both in New Jersey, around the country, and internationally
  • Advise the staff and Regional Club leaders on recommendations and methods to promote their clubs and activities
  • Assist the AR staff in developing and implementing standard Regional Club policies, procedures, and templates
  • Play an active role in planning and attend the Regional Club Leaders Conference, help in conjunction with the annual Alumni Leaders Council meeting

Reunion Committee

The business of the Reunion Committee is to:

  • Develop a strategic director for Rutgers Reunions
  • Lead a comprehensive, university-wide Reunion effort.

Student Engagement Committee

The charge of the Student Engagement Committee is to:

  • Develop a strategic plan for student engagement that encompasses the student’s life at the University
  • Collaborate with other University community members (ie, students, Department of Student Affairs, Foundation)
  • Consider graduate student and undergraduate student needs
  • Develop comprehensive strategy while taking individual campuses into account
  • Make recommendations to the RUAA and University Community
  • Monitor and evaluate implementation

 

Volunteer Role

  • Advocate for alumni presence within the University’s student community
  • Represent the RUAA and its mission

Responsibilities

  • Develop strategic plan
  • Make recommendations for implementation of plan
  • Monitor implementation and recommend adjustments for continuous improvements to the program
  • Advise RUAA Board of Directors on issues relating to the relationship between alumni and students
  • Advise RUAA Board of Directors on issues relating to the relationship between alumni and the University departments who service and support students.
  • Stay abreast of best practices at other institutions.

Measures of Success

  • Individual event and program measures should be implemented in accordance with other performance measures within the Department of Alumni Relations
  • Survey first year students to assess their knowledge and perception of Alumni Relations
  • Survey graduating students to assess their knowledge and perception of Alumni Relations following relevant programming.

The charge of the Volunteer Engagement Committee is to:

  • Develop volunteer training and orientations
  • Encourage volunteer involvement in the RUAA
  • Develop an annual plan for volunteer recognition
  • Measure volunteer involvement
  • Develop a system to match volunteers with opportunities

 

Volunteer Role

  • Utilize business and volunteer experience to advise the RUAA and the department of Alumni Relations on volunteer needs
  • Monitor progress of volunteer involvement and engagement
  • Interact with volunteers and recruit volunteers for work in the RUAA
  • Attend the meetings of the Alumni Leaders Council and the Alumni Leaders Conference

Responsibilities

  • Review annual volunteer goals and strategies and provide recommendations for adjustments in the program for continuous improvement.
  • Maintain an overview of volunteer policies, procedures and initiatives against metrics, goals and standards
  • Recommend policies concerning the development and implementation of volunteer initiatives to the RUAA Board.
  • Maintain open communications with the alumni community about volunteer opportunities.
  • Review and recommend to the RUAA board opportunities for volunteer initiatives.
  • Assist in development of volunteer training, where appropriate.
